Job Summary and Qualifications

Full time (Monday - Friday, days), no nights, no on call, no weekends, no holidays

Seeking a Medical Office Specialist for our practice who provides clerical expertise to ensure all patients receive high quality, efficient care. What you will do in this role:

You will manage all front office functions including patient relations, check-in/check-out, scheduling, insurance verification, and answering phones

You will manage filing and retrieving medical records and patient information

You will assist with collecting and recording co-pays (cash and/or charge) including balancing the day in the computer

Bariatric Surgery Workflow Management

• Manage full bariatric surgery pipeline — oversee patients from initial consult through completion of all pre‑operative requirements.
• Schedule all required specialist appointments — coordinate evaluations such as nutrition, psychology, cardiology, pulmonology, GI, and any additional clearances required by insurance or surgeon.
• Obtain medical records and documentation — collect labs, imaging, specialist notes, supervised weight‑loss documentation, and prior medical history needed for insurance authorization.
• Track patient progress through requirements — monitor completion of nutritional visits, supervised weight‑loss months, clearances, and testing to ensure timely movement through the process.
• Explain insurance criteria to patients — educate patients on BMI thresholds, comorbidity requirements, supervised diet expectations, and documentation needed for approval.
• Submit and follow authorization — prepare complete authorization packets, respond to payer requests, and ensure timely approval.
• Schedule surgery once patient is cleared — coordinate OR dates, pre‑op appointments, and provide patients with pre‑operative instructions.
• Serve as primary patient contact

What Qualifications you will need:

One year of experience in a medical office setting is preferred

Experience using an EHR system is highly preferred
